cotobo is a management tool for teachers who give one-on-one instruction — such as online language lessons — that brings scheduling, lesson records, student management, and billing/finance together in one place. It’s not a booking form; its purpose is to make what you do before and after a lesson smoother.
How much does it cost?
cotobo has three plans: Free, Standard, and Pro. Every new signup gets the full Pro plan free for 30 days — no credit card required. When the trial ends you are switched to the Free plan automatically, and you are never charged without your consent. See the Pricing page for current plans and prices in your currency.
What are the system requirements?
The teacher dashboard is designed for use on a PC — some actions may be hard to use on a narrower phone screen. The student-facing portal, on the other hand, works well on mobile.
How does Google Calendar sync work, and is it safe?
Once you authorize a Google account, cotobo reads events from the calendars you select — read-only. cotobo never writes events back to Google Calendar. The connection (auth token) is stored encrypted. You can turn sync on or off per calendar, and disconnect the whole account anytime from Settings. Disconnecting revokes cotobo’s access on the Google side and deletes the stored token (already-imported events and lesson records are not deleted — only future auto-sync stops).
What is the student portal, and are there any precautions around the URL?
The student portal is a page issued for each individual student, where you can share their lesson notebook, vocabulary list, and more. By default (URL-only access), anyone with the link can view it — treat the link like a password and keep it from third parties. For extra security, you can set a password on the portal from Settings.
Can I export my data, or take it with me if I close my account?
You can download detail, expense, and finance-summary CSVs from the Finance page. If you plan to close your account, export what you need first, then delete your account from Settings ("Delete account") — deleted data cannot be recovered.
Is there an invoicing feature?
Yes. You can create an invoice for each student and email it to them.
How do the AI features handle student information?
cotobo uses Anthropic’s Claude API to generate example sentences, fill-in-the-blank exercises, review questions, and to assist vocabulary lookup. In most cases, what’s sent is material text or attributes like a student’s target language, level, and interests — not their name. The one exception is the katakana-reading generator, which does send the student’s name. Notebook translation uses the DeepL API, which only receives the text you choose to translate.

How do I delete my account?
From Settings, choose "Delete account." After confirming, all data — student information, lesson records, notebooks, invoices, and material files — is permanently deleted and cannot be recovered.
